How to Plan a Small Business or Office Move With Minimal Downtime
By Spina’s Moving Services LLC – Pine Bush, NY
For a small business, every day you’re closed is a day of lost revenue. Whether you’re moving a professional office, a retail shop, or a medical or dental practice, the goal is the same: get packed, moved, and open again as quickly as possible, with nothing lost along the way. At Spina’s Moving Services LLC, we help businesses across Orange, Ulster, and Sullivan Counties relocate with as little disruption as possible. Here’s how to plan an office move that keeps your downtime short.
Start Planning Two to Three Months Out
Office moves have more moving parts than home moves: leases, contractors, internet service, signage, and customers who need to know where you’ve gone. Start planning at least two to three months ahead, and book your movers early so you can get the date you want.
For larger moves, we recommend booking 4–8 weeks ahead.
Pick One Person to Run the Move
Choose a single point of contact who coordinates with the movers, the landlord, IT, and staff. When questions come up on moving day—and they will—one person with the full plan can make fast decisions.
We work directly with your move coordinator so nothing falls through the cracks.
Schedule the Move Around Your Business
The best time to move is when you’ll lose the fewest customers. For many offices, that means packing on Friday and moving over the weekend, so you’re open again on Monday. Retail shops may prefer their slowest day of the week. Talk with your mover about timing up front, and ask both buildings about any rules on move hours.
We work Monday through Saturday from 7 AM to 7 PM and Sundays from 7 AM to 4 PM, so weekend moves are an option.
Get Your Building Requirements in Writing
Commercial buildings often require: • A certificate of insurance from your mover • Reserved elevator or loading dock times • Floor and wall protection in common areas • Moves outside of normal business hours Ask both your old and new property managers for their requirements early, and pass them along to your mover.
We carry commercial liability insurance for office and business moves. Ask us for proof of coverage when you book.
Plan Internet, Phones, and IT First
Your business can’t open without the internet. Contact your provider as soon as you sign the new lease—installation can take weeks. Have your IT person or provider back up all data, then disconnect, label, and reconnect computers, servers, and network equipment. Photograph cable setups before anything is unplugged.
Getting internet scheduled early is the single best way to avoid an extra day of downtime.
Create a Floor Plan for the New Space
Map out where every desk, cabinet, and piece of equipment goes, and give each area a number or color. Put the matching label on every box and piece of furniture. Tape a copy of the floor plan by the entrance of the new space so the moving crew can place everything right the first time.
A labeled floor plan means your team walks in Monday morning to desks that are already in place.
Have Each Employee Pack Their Own Desk
Give staff boxes, labels, and a deadline. Each person packs their personal items and desk contents, and labels boxes with their name and new desk location. Shared areas, such as the supply room, break room, and files, can be packed by the movers or a designated team.
Need help with files, equipment, or the whole office? Our packing team can take it on.
Protect Sensitive Files and Records
Client files, financial records, and patient records need extra care. Keep them in sealed, labeled boxes, keep a list of every box, and decide ahead of time whether they travel on the truck or with a staff member. This is also a good time to securely shred records you no longer need to keep.
Our crew works discreetly and handles your records with the same care as your equipment.
Tell Customers, Vendors, and Search Engines
Update your address everywhere people look for you: • Your website and email signature • Your Google Business Profile and online directories • Vendors, suppliers, and your bank • USPS mail forwarding • Business cards, invoices, and signage Post a notice at the old location with your new address.
Updating your Google Business Profile right away helps customers find your new location in search and maps.
Do a Final Walkthrough of Both Spaces
Before the movers leave, walk through the old space to check closets, storage rooms, and walls for anything left behind, and note its condition for your landlord. At the new space, confirm every area matches the floor plan.
Take photos of both spaces to protect your security deposit and document the move.
